We look forward to welcoming you to the 2026 Culture & Engagement Leadership Summit, which will take place June 25-26, 2026 in Chicago. Please review the important information below about travel and lodging for the retreat.

In response to inquiries from some of our leaders traveling from outside the U.S., here is information to help you prepare for your trip to our annual summit.

The summit will start Thursday, June 25 at 8:30 AM and end at 12:30 PM on Friday, June 26, plan your travel accordingly.

Travel should be booked no later than May 29. Air travel booked after May 29 is subject to increased fares, and overages above the allowance will be a personal expense.

Tickets and subsequent expenses should be paid for with your firm-issued credit card. If you do not have one, please use a personal credit card and seek reimbursement.

Firm policy requires retreat flights to be reserved through firm-approved travel agencies to minimize risk. Personal rewards miles may not be used to reserve a flight for this summit.

Upgrades: Travel allowances are set for standard economy for domestic travelers and premium economy for international travelers. Any upgrade to Premium Economy is at your own expense even if the upgrade falls within the allowance. Agents will offer fares within our policy. Anything over the allowance will be at your own expense.
- Southwest Airlines early-bird check-in fees will be reimbursed for all Southwest Airlines flights.
- Preferred seats: The firm will cover seat preference fees, i.e., extra leg room, upgrade from center to aisle seat, etc. $100 per flight will be reimbursed, up to the actual cost. The preferred seat allowance does not pertain to cabin upgrades, such as a change from economy class to business class. Preferred seat fees are separate from the allowances in the grid.

International attendees are approved to arrive on Tuesday, June 23 or Wednesday, June 24
Due to minimum stay requirements in travel regulations, flights arriving on June 25 many exceed your allocated travel allowance. If this applies to you and your schedule allows, we encourage you to arrive a day earlier, June 24, and your hotel stay for the night will be covered.

The travel allowances grid lists the maximum reimbursable rates by office location. Allowances are based on average economy class flights into Chicago International Airport (PIT). Lawyers Travel will use these fares as guidelines when you call to arrange your flights, and they will only offer options that meet Reed Smith policies.
Travel agent service fees are separate from and in addition to the allowances listed in the grid.

Except for Chicago office-based attendees, a hotel room has been reserved for you at the Gwen for the nights of June 24 to June 26. If needed, rooms will be available for international travelers on the night of June 23 based on travel requirements.
Do I need to reserve my hotel room?
No, as long as you selected your check-in and check-out dates on the registration page, your room is secured. If you wish to extend your stay at the hotel beyond the Culture & Engagement Leadership Summit, please specify during event registration.
Do I need to pay for my hotel room?
Your nightly room, tax and parking ( if applicable) will be covered by the event. Upon check in, you will be asked to put down a personal credit card for any incidental charges.
What If I want to extend my stay?
Any additional nights requested are subject to hotel availability and will be charged to you upon check out at a rate of $409 per night. Please indicate add on nights in your registration.
What time is check-in / check-out?
Check-in: 3:00 p.m.
Check-out:12:00 p.m.
For travelers arriving at the hotel prior to the 3:00 p.m. check-in time, please understand that your room may not be ready when you arrive. The hotel will make every effort to minimize your wait. You can always check your bags at reception and explore the hotel while you wait.
How far in advance may I cancel a guest room reservation without penalty?
Cancellations must be made 72 hours prior to your arrival time. Please alert 2026 Culture & Engagement Leadership Summit of the cancellation and we will notify the hotel.
