Travel reservations must be made through Lawyers Travel before April 30 to get the most convenient flights within the allowance. Air travel booked after April 30 is subject to increased fares, and overages above the allowance will be a personal expense.

Personal rewards miles may not be used to reserve a flight for this event, since rewards travel must be booked directly through the airline. Firm policy requires conference flights to be reserved through firm-approved travel agencies to minimize risk. Lawyers Travel will adhere to the firm policy that limits to 25 the number of firm attorneys that may travel on a single plane. The agents will advise you of limitations if they arise.

Associates should plan to arrive in time for the Welcome Reception at Houston Office on Wednesday, May 13 at 6:00 p.m.
- All associates must fly economy to Houston's George Bush Intercontinental (IAH) or William P. Hobby (HOU) Airport. If you are driving into the Houston office/Le Méridien Hotel, parking fees will be reimbursed. Please refer to the travel allowance policy below for information on certain travel expense limits.
- Upgrades: Any upgrade to business or first class is at your own expense, even if the upgrade falls within the allowance.
- Preferred seats: The firm will cover seat preference fees, i.e., extra leg room, upgrade from center to aisle seat, etc, up to $100. The preferred seat allowance does not pertain to cabin upgrades, such as a change from economy class to business class. Preferred seat fees are separate from the allowances in the grid.
The travel allowances grid lists the maximum reimbursable rates by office location. Allowances are based on an average of flights into George Bush Intercontinental (IAH) and William P. Hobby (HOU) Airport. Lawyers Travel will use these fares as guidelines when you call to arrange your flights, and they will only offer options that meet Reed Smith policies.
Travel agent service fees are separate from and in addition to the allowances listed in the grid.
Any charges incurred from changes made to the reservation (including the additional service fee) that result in the total going over the fare allowance must be charged back to a practice group, client, or personal account

Except for Houston office-based associates, a hotel room has been reserved for you at Le Méridien, for the nights of May 13 and May 14.
Please select your check-in and check-out dates on the registration page to secure your room. You will be sent a confirmation email in the days leading up to the event.
Any additional nights requested are based on hotel availability and will be charged to you upon check out at the rate of $249 plus tax.
When you arrive at the hotel, during the check-in process, you will be asked to put a card on file for incidentals.

Housekeeping – a gratuity for housekeeping will be billed to the firm. You do not need to cover this expense while onsite.
